Office Administrative Assistant- Cal Tahoe Emergency Services Operations Authority
The Role
We are looking for a reliable and detail-oriented Office Assistant to support the day-to-day administrative operations of Cal Tahoe JPA. Reporting directly to the Executive Director, you will be the organizational backbone of our office — managing files, supporting payroll and HR paperwork, preparing reports, coordinating meetings, and ensuring our team runs smoothly. Key Responsibilities
Provide administrative support to the Executive Director and Operations Manager
Establish and maintain organized office files; manage records in compliance with audit and state law requirements
Assist with HR functions including payroll and new hire/separation paperwork
Enter, edit, and retrieve data; prepare periodic and special reports as directed
Track monthly expenditures and assist with billing processes
Operate standard office equipment (copier, scanner, computer, fax, phone)
Maintain office and station inventory; reorder supplies as needed
Compile meeting materials, prepare agendas, attend meetings, and distribute minutes
Represent Cal Tahoe JPA professionally in all interactions with staff and the public
Qualifications
Required:
High school diploma plus 2 years of general clerical experience (or equivalent combination of education and experience)
Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook
Strong written and verbal communication skills, including correct business English
Ability to maintain confidentiality and handle sensitive information with discretion
Strong attention to detail and accuracy in all administrative tasks
Valid California Driver's License with an acceptable driving record
Must pass a criminal background check
Preferred:
Experience supporting a Board of Directors, including agenda creation and meeting minutes
Prior experience working with government agencies or joint powers authorities
