Qualifications for Receptionist at BioSpirit Spa:

  • Self-Motivated & Proactive: Must demonstrate a strong sense of initiative and the ability to work independently while maintaining a high level of professionalism in all tasks.

  • Professional Demeanor: Ability to maintain a polished, welcoming appearance and demeanor that reflects the upscale nature of BioSpirit Spa. Must be able to interact with clients in a friendly, courteous, and professional manner at all times.

  • Exceptional Communication Skills: Must have excellent verbal and written communication skills. This includes proper grammar, punctuation, and sentence structure when responding to emails, scheduling appointments, or communicating with clients.

  • Front Desk Experience: Previous experience in a front desk or receptionist role is preferred. Must be familiar with multi-line phone systems, appointment scheduling, greeting clients, and handling administrative tasks efficiently.

  • Detail-Oriented & Organized: Must possess strong organizational skills to handle a variety of tasks simultaneously. Accuracy in booking appointments, managing client information, and handling payment transactions is crucial.

  • Customer Service Excellence: Ability to provide outstanding customer service and contribute to an overall exceptional client experience. A passion for making clients feel welcomed, valued, and relaxed.

  • Adaptability: Must be able to adjust to changing priorities in a fast-paced environment while maintaining composure and focus. Flexibility in handling unexpected situations is key.

  • Tech-Savvy: Comfortable using spa management software, booking systems, and standard office technology. Proficiency with email and scheduling tools is essential.

  • Team Player: Ability to collaborate effectively with other spa staff to ensure seamless operation and deliver high-quality service to clients.

  • Confidentiality & Integrity: Must maintain client confidentiality and adhere to the highest standards of privacy and ethical behavior in all aspects of the role.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office

  • Direct visitors to the appropriate location

  • Answer, screen and forward incoming phone calls

  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

  • Provide basic and accurate information in-person and via phone/email

  • Receive, sort and distribute daily mail/deliveries

  • Maintain office security by following safety procedures and controlling access via the reception desk

  • inventory of stock

  • Update calendars and schedule meetings

  • Perform other clerical receptionist duties such as filing, photocopying

Skills

  • Proven work experience as a Receptionist, Front Office Representative or similar role

  • Proficiency on computer

  • Hands-on experience with office equipment (e.g. fax machines and printers)

  • Professional attitude and appearance

  • Solid written and verbal communication skills

  • Ability to be resourceful and proactive when issues arise

  • Excellent organizational skills

  • Multitasking and time-management skills, with the ability to prioritize tasks

  • Customer service attitude

  • High school degree; additional certification in Office Management is a plus

Job Type: Part-time

Pay: From $18.00 per hour
